From the funding call to the spin-out Company, in one research office.

The Research module runs the whole research office: finding funding, writing and sanctioning proposals, managing grants and budgets, running ethics committees, tracking publications and patents, licensing technology and producing every funder report. Student research and Corporate R&D run in the same system.

A research project moves from an idea to a licence, one stage at a time.

Each stage has its own checks. A project does not move on until the stage before it is complete and recorded.

  1. Idea

A funding opportunity is found, with its deadline and an internal cut-off.

  2. Proposal

The budget, justification and attachments go through department review.

  3. Sanction

The funder's sanction is recorded, and the project becomes active.

  4. Project

Money is released against conditions, spent, and reported.

  5. Publications

Papers are added by DOI, and each belongs to its authors.

  6. Patent

An invention is disclosed, filed, and kept in force.

  7. Licence

Rights are licensed within a set scope, with royalties and inventor shares paid.

Every part of the research office, from the call to the close-out.

Each block below covers one part of the module. Together they keep every project, every rupee and every funder requirement in one place.

A proposal is written against a call, routed for approval, and sanctioned before any money moves.

Funding opportunities are listed with their deadlines, and each call has an internal deadline that falls before the funder's. Proposals carry their attachments, budgets, matching contributions and justification, and go through routed approval.

  • Funding opportunity discovery, with deadlines and an internal cut-off.
  • Calls for proposals, with an internal deadline before the funder's deadline.
  • Proposals with attachments, multi-year and modular budgets, and budget justification.
  • Matching contributions, and routed approval and sanction.

Money is released against conditions, and every rupee is traced to a budget head.

Each budget head has its own outlay. Instalments are released only once the funder's monitoring conditions are met. Expenditure, re-appropriation and indirect cost are tracked, and every amount posts to Finance & Accounts.

  • Outlay by budget head, with instalments and release conditions.
  • Expenditure, re-appropriation and utilisation certificates.
  • Indirect cost (overheads), worked out automatically.
  • Subawards and monitoring of sub-recipients, and effort reporting and certification.
  • All money posts to Finance & Accounts.

Each project has exactly one principal investigator, and the people around it are recorded separately.

A project names one PI at any time. An acting-PI window covers the time the PI is away, without the PI losing the role. Co-PIs, investigators and project staff are recorded beside the project, with an absence register.

  • Exactly one PI per project, an acting-PI window when the PI is away, and co-PIs and investigators.
  • Project staff, with an absence register.
  • Researcher identity, and publications that belong to people, with a co‑author network.

Ethics committees keep their own records, and continuing reviews are never missed.

Human ethics, animal ethics and biosafety committees record their members, quorum, meetings and decisions. Continuing review dates come up automatically, and protocol amendments, conflict‑of‑interest declarations and adverse events are kept with the project.

  • Ethics committees with properly constituted membership, quorum checks, meetings and decisions.
  • Continuing review dates worked out automatically, and protocol amendments.
  • Animal and biosafety protocols, conflict‑of‑interest declarations and adverse event reporting.

Compliance covers data, export and materials, with the agreements kept beside the project.

Data management plans, export control, material transfer agreements and research integrity training are tracked for each project, and funder and partner agreements are kept with the project they belong to.

  • Data management plans and export control.
  • A material transfer register and research integrity with mandatory training.
  • Agreements and contracts with funders and partners.

A publication is added from its DOI, and each paper belongs to the people who wrote it.

Publication details are fetched from the DOI, so the record is complete without retyping. Each paper is linked to its authors, and theses can be deposited with an embargo that protects a patent while it is being filed.

  • Publications, with details fetched automatically from a DOI.
  • Theses, deposited with an embargo until a patent is filed.
  • The institution's research return, for rankings and accreditation.

An invention is disclosed, patented and licensed, and the inventor's share is paid out.

Invention disclosures are recorded, patents are prosecuted and renewed, and licences carry a defined scope with diligence tracked. Royalties and revenue-share payouts go to the inventors, and a successful invention can become a spin-out Company.

  • Invention disclosure, patent prosecution, office actions and renewals.
  • Licences with scope and diligence tracking.
  • Royalties and revenue-share payouts to inventors, and spin-out Companies.

Students in Schools and Colleges get the same research tools, with mentors, hour limits and check‑ins.

Student research programmes can be run by any institution. Each student has a mentor, hours are limited and recorded, and check‑ins and timesheets keep the project on track.

  • Student research programmes for any institution, with mentors, hour limits, check‑ins and timesheets.
  • Research scholars: supervision and progress reviews.

Companies run R&D through a stage-gate funnel, and every gate records why a project went on or stopped.

Corporate R&D moves an idea from discovery to launch, through gates. At each gate the team decides to go, kill, hold or recycle, and the reason is recorded so the decision can be explained later.

  • A stage-gate innovation funnel, from discovery to launch.
  • A go, kill, hold or recycle decision at each gate, with the reasons recorded.

Every funder report is produced from the same record, with what was sent and what came back.

Utilisation certificates, funder filings and the institution's research return are produced from the project record. Each filing shows what was sent and the reply that came back, and the director sees the whole office from a single cockpit.

  • Utilisation certificates and agency filings, with what was sent and what came back.
  • Monitoring visits, progress reports, extensions with an end-date gate, and closure checks.
  • A deadline register for the whole module, with one digest per person, and a cockpit for the director.

What sets the module apart from a spreadsheet of grants.

Each of these is part of the module itself.

The Research module is connected to the accounts, the staff and the students.

Grant money reaches the books, and project staff come from the same staff records.

Built for the research office, the investigators, the committees and the students.

Each role sees the part of the research work that belongs to it.

The research office and research officers

Run calls, proposals, grants, compliance and reports.

You want every deadline met and every filing sent.

Principal investigators and co-investigators

Write proposals, and manage their projects, budgets, staff and reports.

You want your project and its money in one place.

The dean or director of research

Approves and watches the whole office from a cockpit.

You want the position of every project in one view.

Ethics committees

Review protocols and continuing reviews for human ethics, animal ethics and biosafety.

You want decisions recorded with the quorum that made them.

Finance

Releases instalments, records spending and issues utilisation certificates.

You want instalments released only when the conditions are met.

The technology transfer office

Handles inventions, patents, licences and spin-outs.

You want every invention protected and every licence tracked.

Research scholars, supervisors, students and mentors

Progress reviews, thesis submission and student research placements.

You want clear milestones and a clear route through.

Questions people ask about the Research module.

What does the Research module cover?

The whole research office: funding calls, proposals, grants and budgets, ethics committees, monitoring and closure, publications, patents, technology transfer, consultancy, student research and Corporate R&D.

Can a project have more than one principal investigator at a time?

No. Each project has exactly one PI. An acting-PI window can cover a period when the PI is away, and co-PIs and investigators are recorded separately.

When are grant instalments released?

Instalments are released only when the monitoring conditions set by the funder are met.

Are utilisation certificates produced automatically?

Yes. Utilisation certificates are produced from the project's expenditure, and each funder filing shows what was sent and what came back.

Does the module handle ethics approval?

Yes. Human ethics, animal ethics and biosafety committees record membership, quorum, meetings and decisions, and continuing review dates are worked out automatically.

Can Companies use it for research and development?

Yes. Corporate R&D runs a stage-gate innovation funnel from discovery to launch, with a go, kill, hold or recycle decision at each gate and the reasons recorded.
