One ERP for the HR and payroll firm: every client's payroll right the first time, each kept separate.

A firm runs payroll for its own team and for the organisations that are its clients. UIMS runs each monthly cycle on its own record, with its own approvals and bank file, so one client's pay never meets another's.

The problems this solves.

A payroll firm is checked by every client on every payday. These are the places it usually goes wrong.

Your clients' payroll

One place to run the payroll of many client organisations, each kept on its own record.

  • Payroll for the firm's own team and for each client organisation, run from one place.
  • Each client's records, salary structures and formulas kept completely separate from every other client's.
  • Each client's payroll run approved by the right person before it posts, with its own bank advice file and payslips.
  • Statutory deductions and returns applied by each client's country.

Payroll

The month's pay, run in one place and approved before it posts.

  • Salary structures with the organisation's own formulas.
  • Monthly payroll runs in one control centre, with approvals before posting, and a month that cannot be paid twice.
  • Arrears, bonus, variable pay, gratuity and end-of-service benefits.
  • Loans and advances, expense and travel claims.
  • Payslips, bank advice files, and automatic posting to Finance & Accounts.
  • Pension and provident fund management, and labour-cost distribution across departments and projects.

Statutory compliance

Deductions and returns that follow the country's rules.

  • PF, ESI, professional tax, TDS and Form 16 in India.
  • Other countries through their own country packs, so the same system follows their rules.
  • Statutory returns and staff returns for education regulators.

Attendance, leave and time

The time that becomes pay, kept with its audit trail.

  • Biometric devices, geofenced mobile check-in and one-time-code attendance.
  • Shifts, overtime, compensatory off and on-call duty, with working-time rules.
  • Leave types and policies, accrual, carry-forward and encashment, and academic leave where it applies.
  • Regularisation requests with an audit trail.

Employee self-service and help

Fewer questions, and answers that can be checked.

  • A portal for payslips, leave, attendance, claims, tax declarations, letters and documents.
  • An HR assistant that answers from the HR policies and always shows where each answer came from.
  • HR letters generated from templates: offer, appointment, experience and relieving.
  • An HR help desk with a knowledge base.

The employee lifecycle

From joining to exit, with each step recorded.

  • Onboarding tasks, documents and probation started on joining.
  • Goals, appraisals, 360-degree feedback, succession planning and promotions.
  • Exits: notice periods, clearance across departments, full and final settlement, gratuity, exit interviews and rehire eligibility.
  • Grievances, disciplinary actions and the POSH committee's cases.

Salaries and records protected, and every look recorded.

  • Personal data encrypted, sensitive data seen only by those who need it, and every look at a sensitive record recorded.
  • Consent recorded, retention schedules, and data-subject rights.
  • An AI HR assistant with transparency about how AI is used in HR decisions.

How it runs, step by step.

One payroll month, from the attendance to the bank file.

  1. Record time

Attendance, leave and overtime are recorded through the month, with the audit trail kept.

  2. Onboard the client

A client organisation's employees, salary structures and statutory setup are recorded on the client's own record.

  3. Calculate

The payroll run applies salary structures, statutory deductions and arrears for the month.

  4. Approve

The run is checked and approved by the right person before it posts. A month cannot be paid twice.

  5. Pay

The bank advice file goes out, and payslips are published to employees.

  6. Post

The payroll posts to Finance & Accounts, and the labour cost is distributed to departments.

  7. Answer

Employees see their payslip in the portal, and the HR assistant answers their questions from the policy.

Questions people ask about HR and Payroll Firms.

Can a payroll be paid twice?

No. A month can be paid only once, and the run is approved before it posts to the accounts.

Are clients' payrolls kept separate?

Yes. Each client organisation has its own record, with its own salary structures, approvals, bank advice files and payslips. One client's data is not visible to another.

Which deductions are handled?

In India, PF, ESI, professional tax, TDS and Form 16. Other countries follow their own country packs.

Where does an HR assistant's answer come from?

From the organisation's HR policies. Each answer shows the policy it came from, and AI suggests and people decide.

How are exits settled?

Clearance runs department by department, and the full and final settlement, gratuity and severance are calculated from the record.
