Questions institutions ask before they request a demo.
Each module page has its own questions. These are the first ones from each, in one place.
Admissions
The first three questions on the Admissions page. The full list is on that page.
What is the admissions module?
The Admissions module runs the whole intake of students: enquiries, applications, document checks, merit lists, interviews, offers, deposits and seat allotment. It is one module of UIMS, an ERP, and it connects to fees, accounts and student records.
Can parents apply online from a phone?
Yes. Applicants and parents apply on the institution's own branded portal, signing in with a one-time code. One parent account can apply for more than one child, and a half-finished application can be picked up later.
Does UIMS work with DigiLocker for documents?
Yes. Marksheets, certificates and ID proofs can be pulled straight from DigiLocker, and the issuer's digital signature is checked. Documents can also be uploaded by hand, and an officer verifies each one.
Fee Management
The first three questions on the Fee Management page. The full list is on that page.
What is fee management for Schools and Colleges?
It is the part of the institution's work that sets the fees, sends the bills, takes the payments and records every rupee. In UIMS this is the Fee Management module, and it posts every payment to the accounts.
Can parents pay online in instalments?
Yes. Parents see every child's fees in one place and pay online. A fee can be split into a deposit and equal instalments with due dates, and UPI and e-NACH mandates can collect each instalment automatically.
How are discounts and refunds approved?
One person requests a discount, refund or write-off, and a different person approves it. Approvals are confirmed by OTP or a digital sign-off. Refunds are paid back online to the same account the payment came from.
Student Engagement
The first three questions on the Student Engagement page. The full list is on that page.
What does the Student Engagement module cover?
Everything in a student's day outside the marks sheet: attendance, timetable and cover, behaviour, wellbeing and safety, health, clubs and co-curricular life, parent communication, campus services and feedback.
Can attendance be taken without proxy entries?
Yes. Attendance can be taken by period, day or session, and proxy attendance can be stopped with a rotating QR code, location checks, device binding, or biometric and face-recognition devices.
Do parents hear when a child is absent?
Yes. Parents are told about an absence on WhatsApp. Students whose attendance is falling are flagged before they cross the minimum, with suggested steps for the class teacher.
Learning Management System
The first three questions on the Learning Management System page. The full list is on that page.
What does the LMS do with a textbook?
The textbook is read chapter by chapter and topic by topic. For each topic, AI writes study material at every thinking level, with diagrams, worked examples, key terms and formulae, and it can also make a teaching video and an animated lesson. A teacher approves everything before a learner sees it.
Does AI Guru answer from the internet?
No. AI Guru teaches only from the approved content of the learner's own course. It never makes things up from outside.
What happens when a learner gets an answer wrong?
The system explains the misunderstanding behind the wrong answer. If a learner is stuck, it writes a short recovery lesson from their own mistakes, tells the teacher, and tells the parent in plain words.
Assessment Engine
The first three questions on the Assessment Engine page. The full list is on that page.
What is the Assessment Engine?
It is the part of UIMS that builds question banks, creates tests from reusable templates, delivers them, marks them and analyses the results. One engine runs class quizzes, semester exams, coaching mock tests, hiring tests and employee certification.
Can the same questions run as an open quiz and as a locked exam?
Yes. The monitoring level is a setting of the test, so the same questions can run as an open browser test, with full-screen lock and tab-switch detection, with webcam and AI face detection, with a live proctor, or on a locked exam computer.
Can candidates see the answer key?
No. Question content is encrypted, and answer keys never reach the candidate's screen.
Examinations & Results
The first three questions on the Examinations & Results page. The full list is on that page.
What does the Examinations & Results module cover?
The whole examination cycle, from setting the paper to the degree certificate: exam registration and hall tickets, secure question papers, exam conduct, anonymous evaluation, CBCS results, re-evaluation, documents and degrees, and examiner payments.
How are answer scripts kept anonymous?
Each answer script is given a secret code, so evaluators never see the roll number. Marks are entered, checked and decoded only after evaluation is complete.
Can results be seen before they are published?
No. Results stay locked until every mark is in and the right time has come. Nobody can see them before then.
Finance & Accounts
The first three questions on the Finance & Accounts page. The full list is on that page.
What does the Finance & Accounts module do?
It keeps the complete accounts of an educational institution or a Company: the general ledger, budgets, purchasing, stores, fixed assets, tax, statutory statements and the year-end close. Every other module posts into it automatically.
Do fees and payroll have to be entered again in the accounts?
No. Fees, payroll, pension, PF, hostel income, admission deposits, exam and document fees, research grants, legal bills and affiliation fees all post into the books automatically. Accountants key in only what no other module records.
Which financial statement formats are supported?
Six reporting frameworks are ready: the UGC uniform format, the ICAI non-profit format, Schedule III, IFRS, US non-profit (ASC 958), and the UK further and higher education SORP. Each account is mapped to a statement line, and the accountant confirms the mapping.
HR & Payroll
The first three questions on the HR & Payroll page. The full list is on that page.
What does the HR & Payroll module cover?
The complete employee lifecycle, from joining to retirement: employee records, attendance and time, leave, payroll and statutory compliance, benefits, performance, learning, faculty workload, exits, employee relations, health and safety, and self-service.
Can a month be paid twice?
No. A monthly payroll run cannot be paid twice. It is approved before it posts, and it posts straight into Finance & Accounts.
Does payroll follow the rules of each country?
Yes. Statutory deductions come from country packs. In India that covers PF, ESI, professional tax, TDS and Form 16, and other countries are set up through their own rules.
Recruitment (ATS)
The first three questions on the Recruitment (ATS) page. The full list is on that page.
What does the Recruitment (ATS) module do?
It runs hiring from start to finish: requisitions, job postings on the institution's own careers page, applications, screening and tests, interviews, offers and joining. When someone joins, they move straight into HR & Payroll.
Can a machine reject a candidate on its own?
No. Eligibility rules can filter applications, but a person always makes the final rejection, and every decision is recorded with a reason.
Can candidates apply from a phone?
Yes. Candidates apply on a phone with a one-time code, can save and resume, and track their status through a link. Their resume is read to fill in the form.
Legal & Compliance
The first three questions on the Legal & Compliance page. The full list is on that page.
What does the Legal & Compliance module do?
It manages court cases from filing to closure, the advocates who handle them and their fee bills, legal notices and opinions, and right-to-information requests and appeals. Every legal deadline is counted and warned about in advance.
How are deadlines tracked?
Each case has several deadline clocks: the limitation period, the appeal window, the reply to a notice, compliance with an order, and the validity of an advocate's empanelment. Warnings are sent before a deadline is breached.
Who can assign an advocate to a case?
Only advocates on the approved panel who are not debarred can be assigned. Debarring an advocate withdraws all their briefs at once and blocks new ones.
Community Forum
The first three questions on the Community Forum page. The full list is on that page.
What is the Community Forum?
It is a study community for students, teachers and parents, where students ask questions, share resources, run quizzes and polls, and help each other. Teachers check the posts and verify the answers.
Are student posts checked before they appear?
Yes. A student's or parent's post is published only after a teacher approves it, and edits are checked again. Automatic filters look for personal information, bad language and signs of self-harm.
What happens if a post shows signs that a child may harm themselves?
The post is held back at once, and the safeguarding lead is alerted privately.
Hostel
The first three questions on the Hostel page. The full list is on that page.
What does the Hostel module cover?
It runs a residence from application to checkout: online applications, ranked shortlists, bed-level allotment, mess billing, outpasses, visitor entries, maintenance complaints, fines, inspections and deposit refunds.
Can two students be given the same bed?
No. Every bed is tracked separately, and each bed can belong to only one student at a time.
How are mess bills reduced for days away?
Rebates are worked out automatically from the student's approved outpasses, so a student who was away is not charged for those days.
Scholarships
The first three questions on the Scholarships page. The full list is on that page.
What does the Scholarships module do?
It runs every scholarship scheme from the definition to the credit: the scheme and its budget, eligibility rules, applications, automatic screening, a merit list, the award, and the fee concession that reaches the student's fee account.
How is eligibility checked?
Automatically, against the scheme's own rules such as income ceiling, minimum marks or CGPA, attendance, domicile and category. Each result shows a reason, such as income within limit or marks above the cut-off.
Can a student apply for the same scheme twice?
No. A student can make one application per scheme.
Placement
The first three questions on the Placement page. The full list is on that page.
Which institutions does the Placement module serve?
It is for Universities and Colleges. It is not offered for Schools, Coaching Centres or Corporate organisations.
Can a student apply for a job they are not eligible for?
No. The eligibility rules for branch, CGPA, backlogs and batch are checked automatically, so only eligible students can apply, and ineligible students are filtered out.
Can a Company's recruiter see other Companies' applicants?
No. Each recruiter has their own login and sees only their own Company's jobs and applicants. Applicants can never see each other's details.
Alumni
The first three questions on the Alumni page. The full list is on that page.
What does the Alumni module do?
It keeps graduates connected for life: a directory and map, chapters, events and reunions, mentoring, a job board, and fundraising with donations, campaigns, pledges, memberships and receipts. For Companies, the same module runs an ex-employee network without the fundraising.
Are graduates added to the Alumni network automatically?
Yes. Graduating students become Alumni at convocation or when their batch leaves. Alumni can also register themselves, or be imported in bulk, and every Alumnus is verified.
Who can see my location on the Alumni map?
Only people who have chosen to share their location appear on the map. Photos are shared only with consent for how they are used.
Research
The first three questions on the Research page. The full list is on that page.
What does the Research module cover?
The whole research office: funding calls, proposals, grants and budgets, ethics committees, monitoring and closure, publications, patents, technology transfer, consultancy, student research and Corporate R&D.
Can a project have more than one principal investigator at a time?
No. Each project has exactly one PI. An acting-PI window can cover a period when the PI is away, and co-PIs and investigators are recorded separately.
When are grant instalments released?
Instalments are released only when the monitoring conditions set by the funder are met.
Hospital
The first three questions on the Hospital page. The full list is on that page.
Is the Hospital module for one Hospital or a chain?
Both. It serves a single Hospital, nursing home or clinic, a chain of Hospitals and clinics owned by one group, and Hospitals run by Universities and medical Colleges. Each Hospital, clinic, collection centre or pharmacy is a facility inside the owner's account.
Does a patient get one record across the whole chain?
Yes. A patient is registered once, and one patient number works at every branch. Duplicates are caught at registration by name, date of birth, phone and ID.
Can a drug alert be skipped?
No. Drug interaction and allergy alerts must be seen and answered by the doctor before the prescription can go through.
Platform
The first three questions on the Platform page. The full list is on that page.
Can one group run a School, a College and a Coaching Centre in one system?
Yes. A group that runs a School, a College and a Coaching Centre uses one system with one login, and each institution's screens speak its own language.
Can an institution use its own logo and web address?
Yes. Each institution has its own logo, colours, tagline and name on every screen, email, PDF and certificate, and its own web address, either a subdomain or a path on its own website.
Does sign-in support Google and Microsoft?
Yes. Single sign-on works with Google and Microsoft, and sign-in also supports one-time codes and two-factor authentication.
