One ERP for a College, from the first application to the placement offer.

Programmes, semesters, fees that differ by course and year, hostels, placement and an affiliating University's rules. UIMS keeps them on one student record, so nothing is re-entered from one office to the next.

The problems this solves.

A College lives between its students, its parents and the University it affiliates to.

Admissions

From enquiry to joining, on the College's own portal.

  • Enquiries from walk-ins, calls, the website and forms, each tagged with its source and followed up by a counsellor.
  • Applications on the College's branded portal, with one-time-code sign-in and a requirements checklist.
  • Marks checked against official marks, and category claims checked against their certificates.
  • Merit lists under the College's rules, with conditional offers that are checked when the result arrives.
  • Offers, waitlists and deposits, with the applicant becoming a student in one step.

Fees

Every bill, payment and concession on one ledger.

  • Fee heads and structures for each programme and semester, with one‑time, term-wise or yearly fees.
  • Pro-rata fees for students who join late, and late-fee rules with a cap.
  • Online payment by UPI, card or net banking, counter payments, cheques, and instalment plans with auto-debit.
  • Concessions, refunds and write-offs, each requested by one person and approved by another.
  • Staged WhatsApp reminders for overdue fees, sent only to parents who have agreed to them.

Programmes, placement and campus life

The rest of the College's day, in the same student record.

  • Campus placement: a placement profile for each student, Companies and recruiters, job postings with eligibility checks, and interview rounds.
  • Hostel allotment bed by bed, mess bills with rebates, outpasses and checkout, with charges going to fees.
  • Scholarship schemes with automatic eligibility screening, a transparent merit list and budget caps.
  • Attendance, timetable and cover, clubs, sports and an official co-curricular record.

Affiliated examinations

The College's share of the University's exam work.

  • Internal marks, practicals and attendance sent to the affiliating University.
  • Exam forms forwarded to the University, and exam-fee money handled.
  • College results and hall tickets, with students able to check their own.

Alumni and research

Graduates and research stay connected to the College.

  • Graduating students become Alumni automatically, with a directory, events, a job board and mentoring.
  • Donations, campaigns and receipts for the College's funds.
  • Research projects, grants and ethics approvals for faculty who do research.

How it runs, step by step.

A student's first year, from the enquiry to the placement cell.

  1. Enquire and apply

A lead is followed up, and an application is made on the College's own portal.

  2. Admit

Documents are verified, merit is applied, and the offer, deposit and seat are recorded.

  3. Fees and hostel

The fee structure bills the student, and hostel rent and mess charges arrive in the same account.

  4. Study and examine

Attendance, timetable and internal assessment run through the year, and the College sends its marks to the University.

  5. Prepare for placement

The student builds a placement profile, and Companies post jobs that only eligible students can apply for.

  6. Graduate

The student becomes an Alumnus, and the College keeps in touch.

Who uses it.

Questions people ask about Colleges.

Can parents pay fees in instalments?

Yes. A fee can be split into a deposit and equal instalments with due dates, and UPI or e-NACH auto-debit can collect each one.

How does campus placement check eligibility?

A job's rules, such as branch, CGPA, backlogs and batch, are checked automatically. Students who are not eligible do not see the job as open to them.

Does the hostel charge go into the fee account?

Yes. Room rent, the security deposit, mess bills and fines become fee bills, so the parent pays everything in one place.

Can the College send marks to its University?

Yes. Internal marks, practicals, attendance and exam forms are sent to the affiliating University from the same record.
