Home / Modules / Scholarships

Every scholarship is screened by the same rules, and every award reaches the student's fee account.

The Scholarships module runs each scheme from its definition to the credit: the funder and budget, the eligibility rules, applications, automatic screening with reasons, a published merit list, the award and the fee concession. The officer screens, the approver awards and the accountant approves the money.

From the scheme to the fee account, in seven steps.

Each step passes its result to the next. An award can only reach the fee account after it has been screened, ranked and approved.

  1. Create the scheme

Funder, budget, eligibility rules, documents and the window.

  2. Students apply

Only the schemes a student qualifies for, one application each.

  3. Documents

Uploaded, or brought from DigiLocker and verified at once.

  4. Automatic screening

Each rule checked, with the reason shown beside it.

  5. Merit list

Ranked by the scheme's own mix of merit and need.

  6. Award

Approved within the budget, with any override recorded.

  7. Credit

A fee concession, approved by the accountant and posted to the books.

Every part of a scholarship scheme, from the rules to the credit.

Each block below covers one part of the module. Together they keep every decision explained and every rupee accounted for.

A scheme has a funder, a budget, its own rules and a window, and a frozen scheme keeps its history.

Each scheme is set up with who funds it, how much money it has, when applications are open and what each applicant must meet. Once a scheme is frozen its full history stays on record.

  • Schemes funded by the institution, the government, private trusts, NGOs, Corporate CSR programmes or Alumni.
  • A budget for each scheme, and an application window.
  • Freezing a scheme keeps its full history.
  • Ready profiles for external agencies, such as India's National Scholarship Portal and state portals, US FAFSA and UK Student Finance. Others can be added as settings.

Schemes for you

Students see only the schemes they qualify for, and apply once for each.

The student sees the schemes the rules say they may apply for, and applies online. A second application for the same scheme is not accepted, so no one is counted twice.

  • Students see the schemes they qualify for and apply online.
  • One application per scheme, with no duplicates.
  • Status tracking.

Eligibility rules are set once for each scheme, with the documents it needs and the ranking weights.

Each scheme carries its own rules: an income ceiling, minimum marks, CGPA or attendance, domicile, category quotas, the documents required, score slabs for coaching students, the balance between merit and need, and rules for renewal.

  • Income ceiling, minimum marks, CGPA or attendance, domicile and category quotas.
  • Required documents.
  • Score slabs for coaching students.
  • Ranking weights, merit against need.
  • Renewal rules for the next year.

Each application is screened against every rule, and each result shows why it passed or failed.

The system checks each application against the scheme's rules automatically. Every result carries a clear reason code, so the officer and the applicant can see exactly which rule was met.

  • Automatic eligibility screening with clear reason codes.
  • Documents verified by DigiLocker where it applies, and by the officer for the rest.

The merit list is published openly, so every applicant can see how the ranking was made.

Applicants are ranked by the scheme's own mix of merit and need. The list is published transparently, and shortlisted students move on to the approver.

Awards to approve

ShortlistedWaiting for the approver

DecisionApprover only

The approver awards the scholarship, and no award can go past the scheme's budget.

Shortlisted students go to the approver. Each award is checked against the budget left in the scheme, and any override needs a recorded reason, so the approver's decision is always explained.

  • A budget cap on awards, where any override is recorded with a reason.
  • Separation of duties: the officer screens, the approver awards, and the accountant approves the money.

The budget shows how much of the scheme is awarded and how much is left.

The scheme's budget is shown as a bar, so the officer can see at a glance how much has been awarded and how much remains before the next award is considered.

  • Budget control for each scheme, with the amount awarded and the amount left.
  • Scholarship reports for each scheme.

ScholarshipApplied as a concession
Approved byAccountant, not the officer
Posted to booksAfter approval

An award becomes a fee concession, and it reaches the books only after the accountant approves it.

Each award becomes a scholarship concession in the student's fee account. It is approved separately by the accountant and then posted to Finance & Accounts, so the money is checked twice before it moves.

  • Awards become a scholarship concession in Fee Management and are posted to Finance & Accounts.
  • Merit awards are also applied at admission time, according to the applicant's score.

What sets the module apart from a spreadsheet of names.

Each of these is part of the module itself.

The Scholarships module is connected to the fee account, the books and admissions.

An award is only complete when the fee account shows it and the books record it.

Built for the officers, the approvers, the accountants and the students.

Each role sees the part of the scheme that belongs to it.

Scholarship officers

Create schemes, verify documents, and screen and rank applicants.

You want every applicant judged by the same rules.

The approver: dean of students, registrar or principal

Approves the awards.

You want every award explained before you sign it.

Accountants

Approve the fee concession that each award creates.

You want no concession credited that has not been approved.

Questions people ask about the Scholarships module.

What does the Scholarships module do?

It runs each scholarship scheme from the definition to the credit: the scheme and its budget, eligibility rules, applications, automatic screening, a merit list, the award, and the fee concession that reaches the student's fee account.

How is eligibility checked?

Automatically, against the scheme's own rules, such as an income ceiling, minimum marks or CGPA, attendance, domicile and category. Each result shows a reason, such as income within limit or marks above the cut-off.

Can a student apply for the same scheme twice?

No. A student can make one application per scheme.

Can an award go over the budget?

Awards stay within the scheme's budget. Any override is recorded with a reason.

Who approves the money?

The scholarship officer screens applications, the approver awards them, and the accountant approves the fee concession each award creates. The three roles are kept separate.

Can documents come from DigiLocker?

Yes. Documents from DigiLocker can be verified instantly, and the officer verifies the rest.
